This Privacy Policy explains how Zoko Group Pty Ltd (trading as ZokoRank) collects, uses, stores, and discloses your personal information. It applies to all users of the ZokoRank platform, including visitors to zokorank.com.au and subscribers to the ZokoRank service.

We are bound by the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using ZokoRank, you agree to the collection and use of your information as described in this policy.

• Communications you have with Kate and any notes or instructions you provide

Information collected automatically

• IP address, browser type, device type, and operating system
• Pages visited on zokorank.com.au and the ZokoRank dashboard
• Session duration and click behaviour
• Google Analytics data (anonymised where possible)

Information from third parties

• Google Business Profile data (rankings, reviews, profile information) accessed via Google API with your permission
• Google Search Console data (search performance) accessed with your permission
• Publicly available review data from Google Maps

We use your personal information to:

• Provide and operate the ZokoRank service, including Kate's marketing automation
• Send review requests to your customers on your behalf (only with your explicit instruction)
• Generate suburb pages, Google Business Profile posts, and other content for your business
• Send you your weekly Monday briefing, platform notifications, and billing communications
• Improve the ZokoRank platform and Kate's capabilities (using aggregated, de-identified data only)
• Comply with legal obligations under Australian law

We do not use your data for advertising to third parties. We do not sell your data. We do not share your business data with other ZokoRank members.

We share your information only with the third-party services necessary to operate ZokoRank:

• Anthropic — powers Kate's AI responses (your business data is processed to generate content and responses)
• Stripe — processes payments and manages subscriptions
• SendGrid — sends transactional emails on our behalf
• Google — Google Business Profile, Search Console, and Analytics integrations
• Cloudflare — hosting and security infrastructure
• Railway — backend infrastructure and database hosting

We require all third parties to maintain appropriate security standards and to use your data only as directed by us. We do not authorise any third party to use your data for their own marketing purposes.

We may disclose your information if required to do so by law or in response to valid legal process.

6. Storage & security

Your data is stored on servers operated by Railway and Cloudflare. These providers maintain data centres in the United States and, where available, Australia. By using ZokoRank you consent to your data being stored and processed in these jurisdictions.

We implement reasonable technical and organisational security measures, including encrypted connections (HTTPS), access controls, and regular security reviews. No method of transmission over the internet or electronic storage is 100% secure — we cannot guarantee absolute security.

ZokoRank uses cookies and similar technologies to:

• Keep you logged in to your dashboard
• Remember your preferences
• Analyse traffic via Google Analytics

You can control cookies through your browser settings. Disabling cookies may affect your ability to use parts of the ZokoRank platform.

8. AI processing

Kate, ZokoRank's AI marketing assistant, is powered by Anthropic's Claude. When you interact with Kate, your inputs and relevant business context are sent to Anthropic's API to generate responses. Anthropic's privacy policy governs how they handle this data. We do not knowingly send sensitive personal information (such as health, financial, or legal data) to AI models beyond what is necessary to operate the platform.

Content generated by Kate — including suburb pages, review replies, and social posts — is created specifically for your business and is not shared with or used to train models on behalf of other businesses.

9. Third-party services

ZokoRank integrates with third-party services including Google, Stripe, SendGrid, Anthropic, Cloudflare, ElevenLabs (for Kate's voice feature), and others. Each of these services has its own privacy policy. We encourage you to review the privacy policies of any third-party service you connect to ZokoRank.

Under the Australian Privacy Principles, you have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate or incomplete information
• Request deletion of your personal information (subject to legal retention obligations)
• Opt out of direct marketing communications
• Lodge a complaint with the Office of the Australian Information Commissioner (OAIC)

11. Data retention

• Active accounts — data retained for the duration of your subscription
• Cancelled accounts — member content removed 30 days after cancellation; core account records retained up to 7 years for legal compliance
• Billing records — retained for 7 years as required by Australian taxation law
• Hosted content — suburb pages and blog posts removed 30 days after cancellation

12. Children

ZokoRank is a business platform designed for adults operating Australian small businesses. We do not knowingly collect personal information from children under the age of 18. If you believe a child has provided us with personal information, please contact [email protected] and we will take steps to delete it.

13. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and by displaying a notice in the ZokoRank dashboard. The updated policy will take effect 14 days after notification, unless you cancel your subscription before that date.
